Xero Migration Services
Moving to Xero is not just an import exercise. We migrate, restructure and reconcile detailed accounting history so the new Xero organisation is useful from day one.

Explore →What a professional Xero migration actually involves
A reliable migration is more than transferring records. The work has to preserve accounting meaning, agree the future Xero structure and leave a clear reconciliation trail back to the source system.
Historical data
Transaction-level history when required, not automatically just opening balances.
Accounting structure
Chart of Accounts, contacts, departments, cost centres and Xero Tracking.
Accounting detail
VAT or GST, foreign currency, allocations and source-system behaviour.
Reconciliation
Trial Balance, aged receivables/payables, VAT checks and documented differences.
Historical data, not just opening balances
The right amount of history depends on reporting, audit, statutory retention and the practical cost of retaining the old system. We regularly migrate multiple financial years and have delivered projects containing up to 20 years of accounting history.
- Sales and purchase transactions
- Payments and allocations
- Bank activity and journals
- VAT or GST detail
- Foreign currency history
- Contacts and analysis fields
- Tracking / dimensional history
Complex migrations need accounting judgement
Legacy and ERP systems do not always translate one-for-one into Xero. The objective is to understand what the source data means, decide the appropriate treatment and document material differences rather than force the numbers to fit.
Source structure
Departments, cost centres and legacy analysis codes.
Accounting decision
Agree mapping, consolidation or restructuring rules.
Xero treatment
Translate the agreed structure into Xero Tracking, contacts and accounts.
Evidence
Reconcile and explain differences against the legacy system.
A controlled route from source system to Xero
What you receive at handover
The exact reconciliation pack follows the agreed scope, but the objective is always the same: give the finance team confidence in what moved and a clear bridge back to the source system.
- Reconciled Xero organisation
- Trial Balance comparison
- Aged debtors and creditors reconciliation
- VAT checks where applicable
- Migration workings and documented exceptions
- Explanations for material differences
- Post-migration support
- Training when required
Support does not stop when the data lands in Xero.
Our standard migration service is designed to leave the finance team with reconciled data, practical support and a clear handover. Any project-specific variation is agreed during scoping.
Migration reconciliation
Source-to-Xero checks, supporting workings and documented material differences.
2 months email support
Questions about the migrated data and practical post-go-live support after handover.
Up to 2 hours Xero training
Practical training for the team where it is useful as part of the migration.
First VAT return support
Preparation and submission support for the first VAT return in Xero, where relevant.
Xero subscription support
We help arrange the appropriate Xero subscription and partner discount whenever available.
Handover evidence
Reconciliation pack, migration workings and explanations for agreed exceptions.
Plan what needs to work around Xero after migration.
A successful migration is not only about moving historical data. Where relevant, we also consider how the new Xero environment will work with the tools the finance team needs after go-live.
Approvals & accounts payable
Planning data and workflows for tools such as ApprovalMax and Dext where they form part of the future process.
Group reporting & consolidation
Structuring entities and reporting dimensions with tools such as Joiin or Syft in mind.
Reporting & data tools
Considering how migrated data will be used in reporting and data tools such as G-Accon.
Inventory & operations
Identifying where operational systems or inventory tools need to sit alongside Xero rather than inside the migration itself.
Payments
Considering payment workflows and integrations where they affect the post-migration finance process.
Existing implementation partners
Working alongside the client's existing advisers or implementation partners so the migration supports the wider solution design.
We do not recommend an app simply because it exists. The right tools depend on the business, existing processes and implementation scope, and some apps are implemented or supported by specialist partners.

What should you expect from a professional Xero migration service?
A managed migration is more than an import. The work starts with understanding the source data, agreeing what history and accounting detail should move, deciding how the structure should work in Xero, and then extracting, transforming, importing and reconciling the result.
Scope before import
Agree the financial years, transaction types, VAT or GST treatment, foreign currency, aged items, allocations, attachments, tracking and any restructuring before the migration starts.
Understand the limitations
Payroll history, detailed stock movements, bespoke reports, permissions, audit logs, orders and legacy-only functionality may need separate consideration because not every source feature has a direct Xero equivalent.
Automated or managed?
Automated conversion can be an excellent route for straightforward data. A managed migration becomes more useful where there is restructuring, foreign currency, multiple entities, unusual historical treatments or requirements that do not fit a standard conversion.
Evidence at handover
Successful import messages are not the same as accounting reconciliation. The handover should explain what was migrated, how it was validated, known differences or limitations, and anything still requiring review.
Questions worth asking before you choose a migration provider
Price matters, but it does not tell you what the resulting Xero organisation will contain or how its accuracy will be demonstrated.
- What exactly will be migrated, and how many years of history?
- How will VAT or GST, foreign currency and allocations be handled?
- Can the Chart of Accounts, contacts or tracking structure be changed?
- Can supporting attachments be transferred when required?
- How will the migration be reconciled to the source system?
- What cannot be migrated, and what support is provided after handover?
Xero migration FAQs
How much history can you migrate to Xero?
The scope is agreed per project. We regularly migrate multiple financial years and have handled projects containing up to 20 years of accounting history.
Do you reconcile the migration?
Yes. The approach depends on scope but commonly includes Trial Balance, aged receivables and payables, VAT or tax checks, bank balances and documented exceptions.
Can you restructure data during the migration?
Yes. We can map or consolidate the Chart of Accounts, contacts and analysis structures where the future Xero design is agreed before import.
Can you migrate groups of companies?
Yes. Multi-entity and phased group migrations are a core part of our work.
Can attachments be migrated too?
Often yes, where source documents can be extracted and reliably associated with the relevant transactions.
The Xero ecosystem matters to migration planning too.
A migration should consider how the new Xero organisation will actually be used after go-live. Where relevant, we plan data structures around the wider finance stack rather than treating the import as an isolated exercise.
Approvals & AP
Workflows using tools such as ApprovalMax and Dext can influence contact, coding and document requirements.
Group & management reporting
Tools such as Joiin, Syft and G-Accon can affect how entities, tracking and reporting structures should be designed.
Inventory & operations
Where inventory or operational systems are involved, we identify what belongs in Xero and what should remain in the connected system.
See our bespoke Xero integration services for API-led workflows, migration automation and connected finance processes.
