First, identify the Sage product.

Two businesses can both say they use Sage while having very different data structures, reporting options, transaction volumes and migration risks. Before discussing templates or timelines, establish exactly which Sage product, version, entities and years of history are involved.

Sage 50 → Xero

Sage 50 migrations are often associated with smaller accounting environments, but they can still contain substantial history, VAT, foreign currency, departments and years of customer and supplier activity. The migration scope should be based on the actual data rather than assumptions about company size.

Sage 200 → Xero

Sage 200 projects can involve higher transaction volumes, departments and cost centres, foreign currency, multi-entity structures and add-ons such as WAP or Sicon. We normally handle the extraction ourselves where access is available, then map and reconcile the accounting history into the agreed Xero structure.

Sage Intacct → Xero

Sage Intacct is a distinct source environment with its own reporting and extraction requirements. Historical allocations, transaction identifiers, tax information and the relationship between subledgers and the general ledger need to be considered when planning the export.

What changes regardless of the Sage product?

QuestionWhy it matters
How much history is required?Determines volume, validation work and what users can analyse in Xero.
Does the Chart of Accounts need restructuring?A migration is an opportunity to agree the future Xero structure rather than blindly reproduce legacy coding.
Are departments or cost centres used? These need to be assessed against Xero Tracking and the future reporting model.
Is foreign currency involved?Source rates, revaluations and historical differences need to be understood.
Are attachments required? The files need to be extractable and reliably matched to destination transactions.
How will the migration be reconciled?Trial Balance, aged ledgers, VAT and other agreed evidence should connect the Xero result back to the source.

Do not start with an import template.

The first step is understanding the source system and the accounting outcome required in Xero. Once that is clear, the extraction and transformation method can be designed around the actual data instead of forcing different Sage products through one generic conversion process.
