JTP: Access Financials to Xero Migration for an Architecture Practice
How an architecture practice moved three years of Access Financials history to Xero while resolving future-dated source issues, complex Tracking requirements and open-item allocations.
The project.
JTP, an architecture practice, engaged Migrate My Accounts to migrate three full years of accounting data from Access Financials to Xero. The project became as much about understanding the source accounting position as moving the transactions.
What the project included
- Future-dated transaction investigation
- Auditor discussion and evidence
- Tracking-code migration
- Bulk archive support
- Open-item allocations
- Bank feeds and first VAT return
When the issue is in the source data, not the migration.
Access Financials contained transactions posted into future periods, creating accounting differences that needed to be understood before the Xero position could be finalised. We worked through the issues with JTP and met with their auditors to explain what had been identified and how the position could be resolved in Xero.
More Tracking codes than the future Xero structure needed.
JTP had a large number of tracking codes in the old system. Historical information was migrated according to the agreed source structure, while we also helped the team bulk archive options that were no longer required instead of leaving them to clean up each option individually.
Completing allocations left open in Access Financials.
Multiple customer and supplier items had been left open in the source system. We helped allocate those items as part of the migration and reconciliation work so the aged-ledger position in Xero could be understood and used operationally.
From reconciliation to the first VAT return.
JTP received our detailed reconciliation evidence, and we continued through the practical go-live work: helping with bank-feed connections, supporting the first VAT return and answering questions about both Xero and the migrated data for more than two months.
Client feedback
“JTP engaged with Migrate My Accounts (MMA) to manage the migration from Access to Xero for 3 full years of data. Florentina was exceptionally diligent, communicative and supportive.”
What this project demonstrates
Historical migration is not always a clean source-to-destination translation. Where source data contains timing issues, open allocations or structures that do not fit Xero directly, those differences need to be understood and resolved with the finance team and, where appropriate, its advisers.
